Frequently Asked Questions

Clear answers to your cloud accounting questions: helping you stay confident, efficient, and fully compliant

  • What is cloud accounting and how does it work?

Cloud accounting is the use of online software to manage your business’s financial records in real time. Instead of installing programs on a local computer, your data is stored securely on the cloud and accessed via the internet. This means you can view your accounts, upload receipts, send invoices, and reconcile bank transactions anytime, anywhere—on desktop or mobile.

We work extensively with leading platforms like Xero, QuickBooks, FreeAgent, Zoho Books, and QuickFile to help our clients streamline their finances.

Tip. Choose something that aligns with your business goals and price. It is no longer difficult to change software and retain the data. If something is not working, change it.

  • What are the benefits of switching to cloud accounting?

Cloud accounting offers several advantages:

  • Real-time access to financial data
  • Automatic bank feeds for easier reconciliations
  • Digital record keeping that supports Making Tax Digital (MTD)
  • Seamless collaboration between business owners, accountants, and bookkeepers
  • Better cash flow visibility, forecasting, and reporting
  • Reduced reliance on spreadsheets or paper records

It’s more efficient, scalable, and secure than traditional accounting methods.

Tip. Reporting! Reporting! Reporting! By moving away from paper based records, you can avail yourself with all sorts of clever reporting built into the software. Whether it is creating a comparative profit and loss, or generating a quick cashflow, the reporting is definitely a reason to consider switching.

  • Is cloud accounting secure?

Yes, leading cloud accounting platforms use bank-level encryption, secure login protocols, and automatic backups to protect your data. Your information is stored on secure servers, often with multi-factor authentication and user access controls.

We only recommend HMRC-recognised providers that comply with UK data protection laws, including GDPR.

Tip. Make sure you either pay for the software or read the terms and conditions of your engagement. We have had multiple clients that we have taken over from previous accountants and client is not able to gain access to their own records.

  • Can you help me choose and set up the right software?

Absolutely. We work with a variety of platforms including:

  • Xero – Great for growing businesses and those needing advanced integrations.
  • QuickBooks Online – User-friendly and ideal for general SME use.
  • FreeAgent – Perfect for freelancers, contractors, and small consultancies.
  • Zoho Books – Excellent for businesses already using the Zoho ecosystem.
  • QuickFile – A good low-cost option for micro-businesses.

We’ll assess your business needs, recommend the right platform, assist with setup and migration, and provide training and ongoing support.

Tip. If the accountant only suggests one software, it is likely they have favourable terms with the provider. Do your own research and ask the accountant what they believe based on their business needs is the best software and if they can provide at least two for choice.

  • Does cloud accounting support Making Tax Digital (MTD)?

Yes. All major cloud accounting platforms are HMRC-approved for Making Tax Digital. They allow you to:

  • Keep digital records of income and expenses
  • Submit VAT returns directly to HMRC
  • Prepare for upcoming MTD changes (e.g., MTD for Income Tax)

We help clients stay MTD-compliant and use cloud tools to streamline their reporting, reduce admin time, and avoid penalties.

Tip. MTD is going to be a new norm. The sooner your embrace the change the sooner you can adopt it.
